Queenstown Park Station Fun Ride Event Rules

By entry to the AQTE all participants acknowledge and agree:

  • That AQTE proceeds through private property and a working farm;  and
  • To abide by the following Event Rules.
  1. No Dogs

The Station is a working farm, and for that reason dogs are not permitted to accompany participants on the AQTE please.

  1. Restrictions ‐ participants must not:
  • Interfere with any plant or equipment on the Station including electrical installations or fences and gates.
  • Enter unauthorised areas or farm buildings.
  • Disturb or unnecessarily approach farm animals or work activities on the farm.
  • Let children wander unsupervised.

Ignore any directions, instructions or warnings including any signs specifying hazards and indications of hazards on the AQTE map provided to participants.

  • Leave gates open or damage fences and gates.
  • Leave litter anywhere on the Station (all rubbish must be carried off the Station by participants and disposed of appropriately).
  1. Emergency

In the event of a serious medical emergency please call 111.

  1. Mobile phones

Participants must be in possession of a fully charged mobile phone whilst on the Station. Please note that Vodafone has good reception throughout the Station, but Spark reception is patchy.

  1. Bike fitness, water, food
  • It is the participant’s responsibility to ensure that bikes used during the AQTE are in good working order and are fit for riding on intermediate farm terrain (which can be sandy and boggy in places). It is recommended that one person per group carry a mini-pump and ideally a spare inner tube should be carried by each rider to deal with punctures.
  • Participants need to provide all their own food as they require for the ride during the AQTE. However, there will be a number of food carts provided at the picnic spot where a variety of food options will be able to be purchased, but please note that the Event Organisers cannot guarantee that all food options will be available at all times throughout the day.
  • Participants should also have with them a full water bottle (at least 500ml is recommended per person).
  1. Car parking
  • Parking is available for participants on Boyd Road (and in the nearby paddock). Please follow the directions of Event Organisers.  Participants’ cars parked at the Station entrance, are at all times the responsibility of their owners.
  • A pick-up point will be available located on Station land at the Chard Road end of the property. Please follow the directions of the gate marshals and Event Organisers at all times.  Please consider the Station neighbours by parking appropriately as directed by the marshals and Event Organisers.
  1. Route and Trail(s)
  • The Event Organisers acknowledge the participation of Bridget and Mike Mee in allowing the AQTE to proceed from Boyd Road across their land to the Station gate. Participants are asked to please respect the Mees’ privacy and avoid the entrance to the Mee homestead.
  • Participants should note the 2 different options for the AQTE through the Station as follows and should note the different exit points:
    • A: ‘Picnic ride’‐ a return loop via the midway picnic beach, starting and ending at Boyd Road.
    • B: ‘Station Ride’‐ via the picnic beach, starting at Boyd Rd and ending at the Station’s Chard Road entrance.
  • All routes proceed from Boyd Road through the Station. Participants must appreciate that the Station is a working farm and there may be farm vehicles on or near the trail(s).  Care must be taken on the trail(s) at all times.
  • Participants must at all times keep to the trail(s) indicated on the map and ride at a speed and in a manner, that is within the individual participant’s capabilities and is suitable to the conditions on the day.
  • Please also note that riders will be using the trail(s) in both directions (to return to the exit point on Boyd Road), so please take care when passing others and keep left, especially on corners.
  • It is the responsibility of all the participants to ensure they have transport from the appropriate exit point.
  1. Start point 
  • All registered participants must enter Queenstown Park Station via the Boyd Road entrance between 9:15am and 10:30am irrespective of the route participants intend to ride through the Station.
  • For safety reasons there will be no entrance to commence the ride at the Chard Road Station gate ‐ this location is an exit point only, where toilet facilities will be provided.

     9. Toilets

Toilet facilities are provided as indicated on the AQTE map.

  1. Exit point
  • All participants must exit the station no later than 4:00 pm either by way of the Chard Road gate at the eastern end of the Station or by way of the Boyd Road gate. While participants are permitted to stop along the trail(s) as they wish, participants must organise their own time to ensure they arrive at their preferred exit point (i.e. either the Chard Road gate or the Boyd Road gate) before the gates close at 4:00 pm.
  • Please note – it is important that all participants ‘check out’ with the gate marshals at the exit points. Failure to do so will involve the Event Organisers in an unnecessary search exercise, so please assist us by checking out.
  1. No Adverse weather reserve day

Please check weather forecasts on the morning of the AQTE for weather updates if conditions look adverse in the morning as there will not be an alternative date for the AQTE.

  1. Defined Terms

In these Event Rules:

  • Station means the Queenstown Park Station.
  • Other defined terms have the same meaning as specified in the Active QT Terms and Conditions.

I ACKNOWLEDGE THAT the Event Organisers, in co-ordinating the Event, are acting on behalf of Remarkables Park Limited AND I AGREE to the Event Organisers collecting the personal information required for registration for the Event and the retention and use of this information by Remarkables Park Limited for the purpose of administration associated with the Event and future notification of similar Events at Queenstown Park Station (given in accordance with the Privacy Act 1993).

I AGREE THAT the Event Organisers shall be entitled to take photos, images or video footage (Images) of me during the Event and I authorise Remarkables Park Limited to retain copyright in such Images and to use and/or publish those Images by print or electronic means for advertising, publicity, social media, web content and other promotional purposes without prior consent from me.

ACTIVE QT – TERMS & CONDITIONS (WAIVER & LIABILITY)

This is an important document that should be read carefully and understood fully as it will affect your legal rights. It is a condition of your entry to and your participation in Active QT Events (AQTE) that you read and accept this document. By entering AQTE events you are deemed to acknowledge and agree as follows:

  1. I ACKNOWLEDGE that:

(a) Participation in the AQTE is a test of a person’s physical and mental limits and carries the potential for death, serious personal injury, and property loss.

(b) I am physically fit and have no pre-existing medical conditions, and have sufficiently trained to participate in the AQTE and have not been advised against participation in the AQTE by a qualified health professional.

  1. In consideration of being permitted to participate in the AQTE:

(a) I ACKNOWLEDGE that there may be people, animals, vehicles, objects or materials on or around the course route, which may constitute hazards. I assume all the risks associated with participating in the AQTE. This includes but is not limited to falls, collisions, contact or crashes with other participants, Event officials, volunteers, spectators, course markers or other obstacles or hazards; the effects of weather including rain, heat or humidity; defects in my personal equipment or equipment provided by Event Organisers; the conditions of the course; hazards that may be posed by the presence of spectators or people involved in the or contributing to the conduct of or organisation of the AQTE. All these risks are known to and appreciated by me and I accept them of my own free will.

(b) I FURTHER ACKNOWLEDGE the risk that the Event Organisers or individuals participating in controlling, officiating or involved in or contributing to the conduct of or organising or watching the AQTE may act negligently which may result in harm or injury to my property or me. These risks are also known and appreciated by me and I accept them of my own free will.

(c) I CONSENT to the provision to me of first aid, emergency or other medical treatment including physiotherapy and massage for the purposes of treating or relieving injuries or physical harm that I may suffer as a consequence of participation in the AQTE. I authorise licensed medical practitioners, hospital or other medical or health care facilities to perform all medical procedures, which they may consider medically advisable to attempt to treat or relieve such injuries, including but not limited to the administration of anaesthesia and provision of blood transfusions. I realise and appreciate there is a possibility of complication and unforeseen consequences in any medical treatment which I may receive and I assume that risk. I acknowledge that no warranty is made as to the results of any medical treatment.

(d) I WAIVE, RELEASE, AND DISCHARGE the Event Organisers and any medical staff or volunteers and any individuals participating in, controlling, officiating, involved in or contributing owners of the properties traversed by the AQTE, to the conduct or organising or watching the AQTE from any and all claims, losses or liabilities for death, personal injury, partial or permanent disability, property damage, medical or hospital bills, theft or damage or any kind, including economic loss, which may however exist or arise in the future arise out of or relate to my participation in or my traveling to and from the AQTE, or arising out of the risks I have assumed in participating in the AQTE as set out above whether or not caused by negligence of any person.

(e) I AGREE not to sue or claim against any such persons for any of the claims, losses or liabilities that I have waived, released or discharged in this document.

(f) I INDEMNIFY AND HOLD HARMLESS the Event Organisers from any and all claims made by me or liabilities assessed against any of them as a result of:

(i) my actions or inaction;

(ii) the actions, inaction or negligence of others including the Event Organisers;

(iii) the conditions of the facilities, equipment or areas where the AQTE or other associated activities are being conducted;

(iv) implementation of the AQTE Event Rules; or

(v) any other cause arising from an occurrence related to the AQTE; and

(g) By signing this document, I bind myself, my executors, administrators, heirs, next of kin, successors and assigns and any other person who may claim or sue on my behalf.

(h) I AGREE to abide by the Event Rules, and I acknowledge that my entry to the AQTE may be revoked or suspended for violation of the Event Rules.

(i) I ACKNOWLEDGE the refund and withdraw policy.

(j) I ACKNOWLEDGE that any photos and or video footage taken of me at the AQTE is the property of the Event Organisers and can be used by them for whatever purposes they wish without prior consent from me.

  1. I ACKNOWLEDGE that only the courts of New Zealand shall have jurisdiction to entertain any complaint, demand, claim or cause of action whether based upon alleged breach of contract or alleged negligence arising from the treatment I may receive. I hereby agree that if I commence any legal proceedings, I will commence such legal proceedings in New Zealand and only in New Zealand and I hereby submit to the jurisdiction of the courts in New Zealand.
  1. For the purposes of this document, “Event Organisers” means ActiveQT Ltd, Event officials, medical staff and volunteers, and all officers, directors, servants, employees, contractors, representatives and agents of any of these entities

I CONFIRM THAT:

(a) I will on race day be eighteen (18) years of age of older (if under 18 please gain parents signature); and

(b) I have agreed to enter into the ACTE on the basis of the conditions of this waiver of my own free will. I attest and verify that my running attire / shoes have been cleaned with race approved biodegradable detergent prior to entering the water to prevent the spread of Didymo
